Projections a bank can rely on, built from your real numbers, in the format your lender asks for – and explained so you can defend them in the credit meeting.

A CMA report is a set of financial statements and projections in a standard format that banks use to assess loans, especially working capital limits and term loans. A project report explains a new project or expansion – what it is, what it will cost, how it will be funded and how it will repay the loan. IMAK Advisory, an ICAI-registered CA firm in Bengaluru, prepares CMA data and project reports for businesses across India, built from audited accounts and realistic projections, and supported by the working papers a bank officer will ask to see.

Most loan delays come from the papers, not the business: projections that do not match the past, ratios that fail the bank's norms, a stock statement that contradicts the CMA, or a project cost without quotations. This page explains the full form of CMA report and the CMA full form in project report terms, the forms in CMA data, the CMA project report format, how banks read CMA report banking ratios, the CMA report format for small business, CMA report in Excel, and the special points in a CMA report for real estate projects.

  • CMA data for new working capital limits, renewals and enhancements
  • CMA project report for bank loan applications: term loans, machinery and expansion
  • Project reports for new units, government schemes and investors
  • Stock and book-debt statements and drawing power support
  • Ratio analysis and review of bank sanction terms
  • Financial statements and audit coordination for the loan file

Full Form of CMA Report

The full form of CMA report is Credit Monitoring Arrangement. The arrangement was introduced by the Reserve Bank of India to standardise the information banks collect from borrowers before sanctioning and reviewing credit. Although banks now set their own credit policies, almost all of them still ask for CMA data in a similar structure when a business applies for working capital or term loans above small amounts.

CMA Full Form in Project Report Terms

In a project report, the CMA full form is the same – Credit Monitoring Arrangement – and the CMA section is the part of the project report that presents past and projected financials in the bank's format. People often use "CMA report" and "project report" for the same file, but they are different: CMA data is a standard set of financial tables; a project report adds the story of the project, its costs, market, technical details and assumptions. A loan for a new unit usually needs both; a renewal of working capital limits usually needs only CMA data.

What CMA Data Contains: The Six Forms

The traditional CMA data has six forms. Banks may rename or merge them, but the content is broadly the same.

CMA data formsVerified Compliance Matrix
FormNameWhat it shows
Form IParticulars of existing and proposed limitsCurrent bank limits, outstanding amounts and the limits requested
Form IIOperating statementSales, cost of sales, expenses, interest, depreciation and profit for each year
Form IIIAnalysis of balance sheetLiabilities and assets in the bank's classification
Form IVComparative statement of current assets and current liabilitiesInventory, receivables, creditors and holding levels in months
Form VComputation of maximum permissible bank financeThe working capital gap and the limit the bank can lend
Form VIFunds flow statementLong-term and short-term sources and uses of funds

Banks also expect key ratios, a cash flow statement, the assumptions behind the projections, and the audited financial statements and income-tax returns for the actual years. The numbers in the actual columns must match the audited accounts exactly.

Term Loans and Working Capital Limits Compared

Businesses usually need two kinds of bank finance, and the paperwork differs for each.

Term loan vs working capitalVerified Compliance Matrix
PointTerm loanWorking capital limit
PurposeBuying machinery, building, vehicles or expanding capacityFunding stock, receivables and day-to-day operations
RepaymentFixed instalments over several years, often with a moratoriumRevolving; renewed every year, repaid from sales collections
Main assessmentRepayment capacity over the loan period (debt service coverage)Working capital cycle and the gap the bank can fund
SecurityThe asset financed, plus collateral where requiredStock and receivables, plus collateral where required
Ongoing reportingAnnual accounts, insurance, instalment recordMonthly or quarterly stock statements, drawing power, annual renewal

Many businesses apply for both at once – a term loan for a new machine and an increase in the cash credit limit to fund the extra stock and receivables the machine will create. The application should show both needs together, so the bank sees the whole picture.

Project Cost and Means of Finance

The project cost is everything needed to bring the project into operation, and the means of finance shows where each rupee will come from. Banks expect both to be complete and supported.

  • Land and site development, with title documents
  • Buildings and civil works, with estimates from an engineer or contractor
  • Plant and machinery, with current supplier quotations including taxes, freight and installation
  • Other fixed assets: electrical installation, furniture, vehicles, software
  • Preliminary and pre-operative expenses, including interest during construction
  • Contingency for price changes
  • Margin money for working capital – the promoter's share of the first year's working capital

On the funding side, the promoters' contribution usually comes first, followed by the term loan and, where available, government subsidies, which are often released only after the project starts. The timing matters: if a subsidy will arrive late, the business needs bridge funding or a larger promoter contribution at the start.

Building Realistic Projections

Projections are where most loan applications succeed or fail. A credit officer has seen many plans that promise rapid growth and quick profits; what persuades them is evidence.

  • Start from actual sales, margins and working capital days for the last two or three years
  • Link sales growth to something concrete: new capacity, confirmed orders, new customers, price changes or new locations
  • Keep raw material costs and wages in line with current prices, with reasonable increases
  • Use holding periods for stock and receivables that the business has actually achieved
  • Include all interest, depreciation and taxes, not just operating costs
  • Show the first year of a new project with a realistic ramp-up, not full capacity

If the business had a weak year, explain it. Banks respond better to an honest explanation of a bad year than to projections that ignore it.

Sensitivity Analysis and Break-Even

A sensitivity analysis shows what happens to profits and repayment capacity if key assumptions turn out worse than planned – for example, sales ten per cent lower, raw material costs higher, or a six-month delay in starting production. If debt service coverage stays above the bank's minimum even in the weaker case, the proposal is far stronger. The break-even point shows the level of sales at which the business covers all fixed costs; a lower break-even means a larger safety margin. Both are short tables, but credit committees read them closely.

Security, Margin and Credit Guarantee Cover

Banks look at what protects the loan if things go wrong. Primary security is the asset created from the loan – machinery, stock or receivables. Collateral security is additional property or deposits offered by the promoters, and personal guarantees of directors or partners are common. Margin is the share of the asset's value that the borrower funds, so that the bank does not lend the full amount.

  • Under RBI rules, banks do not take collateral for loans up to a specified amount to micro and small enterprises
  • Credit guarantee cover under CGTMSE can support collateral-free loans to micro and small enterprises, with the ceiling raised to ₹10 crore from 1 April 2025
  • Startups recognised by DPIIT may be covered under the credit guarantee scheme for startups
  • Guarantee fees and their cost are disclosed by the lender in its offer and key fact statement

The application should state the security offered clearly, with valuation reports and title documents for any property, so the bank does not have to ask for them separately.

Financial Statements Banks Trust

Behind every loan file are the financial statements. Banks give more weight to audited accounts prepared on time, with schedules for debtors, creditors, stock and loans, than to provisional figures. Accounts should agree with income-tax returns and GST returns; differences need a reconciliation. For proprietors and partnership firms below audit limits, a properly prepared balance sheet and profit and loss account, with supporting schedules, still makes a much better impression than figures taken only from the tax return.

CMA Data and Project Report: How They Fit Together

A CMA data and project report file together tells the bank two things: how the business has performed, and what the loan will do. For a new project, the CMA data project report combines the project narrative with the six forms, so that the projected sales, costs, working capital and repayment in the narrative are the same numbers that appear in the CMA tables. Inconsistency between the two is one of the most common reasons a credit officer sends a file back.

  • The project cost in the report must match the fixed assets added in the CMA balance sheet
  • The means of finance – promoter contribution, term loan, subsidy – must match the liabilities side
  • Projected sales must be supported by capacity, orders or market data
  • Working capital needs in the project report must match Form IV and Form V
  • Repayment in the project report must match the debt service coverage in the ratios

CMA Project Report Format

There is no single legal format, but a CMA project report format that banks accept usually has these sections:

  1. Executive summary: the business, the project, the loan requested and the repayment period
  2. Promoters and management: background, experience and net worth
  3. Business and market: products, customers, competition and demand
  4. Technical details: location, capacity, machinery, technology, approvals and licences
  5. Cost of project: land, building, machinery, preliminary expenses, contingency and margin money for working capital
  6. Means of finance: promoter contribution, term loan, unsecured loans and subsidies
  7. Projected financials: CMA forms, profit and loss, balance sheet and cash flow for the loan period
  8. Ratio analysis: debt service coverage, current ratio, leverage and break-even
  9. Sensitivity analysis: effect of lower sales, higher costs or delays
  10. Repayment schedule and security offered
  11. Annexures: quotations, approvals, audited accounts, tax returns and KYC

The CMA project report format for a bank loan should follow the lender's template where one exists. We prepare the report in the bank's format and keep a working model behind it, so that changes requested by the bank can be made quickly and consistently.

CMA Project Report for Bank Loan: What the Bank Checks

A CMA project report for bank loan approval is read by a credit officer who has to justify the loan to a credit committee. The officer looks for three things: can the business repay, is there enough margin and security, and are the numbers believable.

  • Repayment capacity: cash generated after tax and before interest and depreciation, compared with the instalments and interest
  • Promoter's stake: the share of the project funded by the promoters, and their net worth
  • Working capital cycle: inventory, receivable and payable days compared with the past and the industry
  • Profitability: margins in line with history and peers
  • Security: primary security created from the loan and collateral or guarantee cover
  • Conduct: past repayment, use of existing limits, credit bureau reports and GST and tax compliance

A CMA project report for bank loan approval is strongest when the projections are a reasonable extension of the past and every big change – a jump in sales, a margin improvement – has a clear reason, such as a new order, a new machine or a price increase.

CMA Report Banking Ratios

CMA report banking analysis relies on a handful of ratios. Banks set their own benchmarks by sector and size, but these are the ones almost every credit appraisal note discusses.

Ratios banks use in CMA analysisVerified Compliance Matrix
RatioFormulaWhat banks look for
Current ratioCurrent assets ÷ current liabilitiesCommonly about 1.25 to 1.33 or higher for working capital loans
Debt service coverage ratio (DSCR)(Profit after tax + depreciation + interest on term loan) ÷ (term loan instalments + interest)Average commonly 1.5 or more, and not below about 1.2 in any year
TOL/TNWTotal outside liabilities ÷ tangible net worthLower is better; high values signal heavy borrowing
Debt-equityLong-term debt ÷ net worthWithin the bank's sector norm
Interest coverageOperating profit ÷ interestComfortably above 1
Fixed asset coverageNet fixed assets ÷ term loan outstandingShows the security cover for term loans
Break-even pointFixed costs ÷ contribution marginLow break-even means lower risk

In CMA report banking practice, the actual-year ratios are compared with the projected ones. A sudden improvement in projections without a reason raises questions; a gradual, explained improvement is credible.

How the Working Capital Limit Is Worked Out

Banks use different methods to decide the working capital limit. Under the traditional maximum permissible bank finance method, the bank finances a share of the working capital gap and expects the borrower to fund the rest from long-term sources. For smaller borrowers, especially micro and small enterprises, many banks use a turnover method, where the limit is a percentage of projected annual turnover, with a margin from the promoter. Some banks use cash budget methods for seasonal or project-based businesses. The method used determines how Form V is prepared, so it is agreed with the bank at the start.

Related Services & Compliance Links:

CMA Report Format for Small Business

The CMA report format for small business borrowers is often simpler. For small loans, many banks accept a short format with past financials, projections for the loan period, a working capital calculation by the turnover method and a few key ratios. Proprietors and partnership firms without audited accounts may use the income-tax return, computation of income and GST returns as the base for actuals.

  • Two to three years of income-tax returns with computation and financial statements
  • GST returns showing turnover
  • Projections for three to five years, linked to realistic growth
  • Working capital calculation, usually by the turnover method
  • Repayment schedule and debt service coverage
  • Udyam registration certificate, which supports priority sector treatment and credit guarantee cover

A CMA report format for small business loans should still be consistent and explainable. Small files are often handled quickly by branches, and a clean, short report reduces back-and-forth.

CMA Report in Excel

Most banks ask for CMA data in Excel so that their credit team can review the formulas and run their own checks. A CMA report in Excel should be a working model, not just typed numbers.

  • Assumptions on one sheet: growth, prices, margins, holding periods, capital spending, interest rates
  • Projections that flow from the assumptions by formula, not hard-coded figures
  • Actual years entered from audited accounts with a reconciliation
  • Balance sheet that balances in every year, with a check cell
  • CMA forms that link to the model, so a change in one assumption updates every form
  • Ratios and DSCR calculated automatically
  • A PDF version for signing and the loan file

We deliver the CMA report in Excel with the PDF, and keep a locked version of what was submitted. If the bank asks for changes, we update the model and show what changed and why.

CMA Report Real Estate Developers Need

The CMA report real estate developers submit differs from one for a manufacturer or trader. The project is the business: the bank looks at the cost to complete, the sales already made, the expected sales velocity and the cash flow from customer collections, rather than a stable operating cycle.

  • Project cost: land, approvals, construction, marketing, finance costs and contingency
  • Means of finance: promoter funds, customer advances and the construction loan
  • Sales plan: units sold, units unsold, price assumptions and collection schedule
  • Cash flow by quarter, including RERA requirements for a separate account for project collections and withdrawals in proportion to work done
  • Approvals: land title, plan sanction and RERA registration
  • Escrow and repayment from sales receipts

In a CMA report real estate lenders review, the sensitivity analysis matters most: what happens if sales are slower or prices lower than planned. Banks lending to real estate also apply their own exposure limits and approval processes, which take time.

Information We Need for a CMA Report

  • Audited financial statements and income-tax returns for the last two or three years
  • Current-year management accounts or provisional figures
  • GST returns and bank statements
  • Details of existing loans, limits and sanction letters
  • For projects: quotations for machinery and civil works, approvals, and capacity details
  • Sales plan, major orders and customer details
  • Promoters' KYC and net worth statements

The Working Capital Cycle Explained

The working capital cycle is the time between paying for inputs and collecting cash from customers. It is the single most important number for a cash credit or overdraft limit.

Working capital cycle componentsVerified Compliance Matrix
ComponentHow it is measuredEffect on the limit
Raw material holdingAverage raw material stock ÷ daily consumptionLonger holding needs a larger limit
Work in progressAverage work in progress ÷ daily cost of productionLonger production needs a larger limit
Finished goods holdingAverage finished stock ÷ daily cost of salesSlow-moving stock increases the need
Receivable daysAverage debtors ÷ daily credit salesLate-paying customers increase the need
Payable daysAverage creditors ÷ daily credit purchasesSupplier credit reduces the need

A business can often reduce its borrowing need more by collecting faster or holding less stock than by asking for a higher limit. Banks notice when holding periods improve, and the improvement also lowers interest cost.

After Sanction: Reading the Sanction Letter

When the bank approves the loan, it issues a sanction letter with the terms. Read it carefully before accepting, because the conditions will apply for years.

  • Limits, interest rate, benchmark and reset frequency
  • Margin requirements and drawing power calculation
  • Security, collateral, guarantees and insurance
  • Financial covenants such as minimum current ratio or maximum leverage, and what happens if they are breached
  • Reporting: stock statements, quarterly results, audited accounts and their due dates
  • Restrictions on further borrowing, dividends or changes in ownership
  • Charges for documentation, processing, renewal and prepayment, set out in the key fact statement

Charges created on company assets must be registered with the Registrar of Companies within 30 days. We review the sanction terms with you, set up the reporting calendar, and make sure each covenant is tracked from the first quarter.

Related Services & Compliance Links:

Stock Statements, Drawing Power and Ongoing Bank Reporting

After the limit is sanctioned, the bank monitors it. Most working capital limits require monthly or quarterly stock and book-debt statements, from which the bank calculates drawing power. The stock statement must be consistent with the books and the CMA projections; large gaps can trigger a stock audit or a reduction in drawing power. Banks also ask for quarterly results, annual audited accounts, insurance of stock and assets, and renewal data every year.

We prepare stock statements from your books, reconcile them with GST and accounts, and flag early if drawing power will fall short of what the business needs.

Common Reasons Loan Files Are Returned

  • Actual figures in the CMA not matching audited accounts or tax returns
  • Projected sales growth with no supporting orders or capacity
  • Working capital days in the projections much better than history
  • Project cost without quotations or with outdated prices
  • Debt service coverage below the bank's norm in early years
  • Promoter contribution not shown or not available
  • Stock statements that do not match the books
  • Missing approvals, licences or KYC

How We Prepare Your CMA Report

  1. Understand the loan: type, amount, purpose, bank and timeline
  2. Collect actuals and reconcile them with audited accounts and returns
  3. Build assumptions with you and test them against history
  4. Prepare the model, CMA forms and ratios in the bank's format
  5. Write the project report narrative where needed
  6. Review consistency between the narrative, the forms and the ratios
  7. Share the draft, explain the numbers and finalise
  8. Support you in answering the bank's queries on the numbers

We do not inflate numbers to meet a ratio. If the ratios do not support the loan as requested, we tell you, and discuss options such as a smaller limit, more promoter funds, a longer tenor or a different structure.

How Long It Takes: Indicative Timeline

What Decides the Cost

We do not publish fees. The cost depends on the type of loan, the size and complexity of the business or project, the state of the books, whether a full project report is needed, and how many bank revisions are expected. Our team shares the exact total after reviewing your requirements.

Three Typical Situations

Statutory Advisory Note
Illustrative situations based on common requests. Names and details are invented; these are not client testimonials.

A Trader Seeking a Higher Cash Credit Limit

A wholesale distributor's sales had grown, and the existing limit was always fully used. The CMA data showed the actual working capital cycle, the turnover-based limit and stronger stock statements. The bank enhanced the limit after a shorter review because the numbers matched the books and GST returns.

A Manufacturer Adding a Production Line

A component maker planned new machinery. The CMA project report for bank loan approval included supplier quotations, capacity, an order pipeline from existing customers and a sensitivity case with lower utilisation. The debt service coverage held even in the lower case, which supported the term loan proposal.

A Developer's Residential Project

A small developer needed a construction loan for a residential project. The CMA report for real estate set out the cost to complete, units already booked, quarterly collections and the RERA account mechanism. The bank asked for a slower sales case, which was added before sanction.

Special Cases

Startups and Service Businesses

Businesses with few fixed assets and fast growth often do not fit traditional CMA norms. The report focuses on contracted revenue, receivables quality and promoter funding, and may support loans with credit guarantee cover.

First-Time Borrowers

A business applying for its first bank loan often has good sales but thin paperwork. Before approaching the bank, it helps to put two years of proper accounts in place, file returns on time, keep business and personal bank accounts separate and route sales through the bank. A first loan is usually smaller, and a clean repayment record then supports larger limits later. The bank will also check the promoters' personal credit history, so any old defaults or errors in the credit report should be resolved first.

Government Scheme Loans

Schemes for new enterprises and specific sectors have their own project report formats and margin requirements. The report follows the scheme's template and eligibility conditions.

Restructuring and Takeover of Loans

When a loan is moved to another bank or restructured, the CMA data must show why the business will now repay, with clear cash flow support.

What Our CMA Service Does Not Do

  • We are not a bank, loan agent or DSA, and we do not arrange loans or take commission from lenders
  • We do not guarantee sanction, a limit or an interest rate
  • We do not prepare projections we cannot support with your data
  • We do not sign the report as a guarantee of future results
  • We do not represent you as your agent before the bank; we explain the numbers with you

When You May Not Need Us

For a small loan where the bank fills in its own short format from your returns, or where you have an in-house finance team that prepares CMA data each year, you may need only a review. We will tell you if a full report is not necessary.

Questions to Answer Before Applying

  1. What is the loan for, and how much is needed?
  2. Which bank, and does it have its own CMA format?
  3. Are the last two or three years audited, and are the returns filed?

Bank Loan Files Prepared by Chartered Accountants

IMAK Advisory is an ICAI-registered firm of chartered accountants in Whitefield, Bengaluru, preparing CMA data and project reports for businesses across India. The full form of CMA report is Credit Monitoring Arrangement – the standard set of financial tables banks use to assess and monitor loans – and the CMA full form in project report terms is the same, referring to the financial section presented in the bank's format.

A CMA data and project report file combines two things: the six standard forms (existing and proposed limits, operating statement, balance sheet analysis, current assets and liabilities, working capital limit and funds flow) and the narrative of the project. A CMA data project report for a new unit must use the same numbers in both, from project cost and means of finance to sales, working capital and repayment.

A good CMA project report format covers the executive summary, promoters, market, technical details, project cost, means of finance, projections, ratios, sensitivity analysis, repayment and security, with quotations and approvals as annexures. A CMA project report for bank loan approval is judged on repayment capacity, promoter contribution, the working capital cycle and whether projections follow from actual history.

In CMA report banking practice, credit officers focus on the current ratio, debt service coverage, TOL/TNW, debt-equity and break-even, against their own sector norms. The CMA report format for small business borrowers is shorter, often using income-tax and GST returns as the base and a turnover-based working capital calculation.

Banks usually want a CMA report in Excel with working formulas linked to clear assumptions, so their team can test it; we deliver the model with a PDF and update it quickly when the bank asks questions. A CMA report real estate developers submit is built around cost to complete, units sold and unsold, quarterly collections, the RERA project account and a slower-sales case.

Most loan files go back to the applicant for the same few reasons: actual figures that do not match the audited accounts or tax returns, sales growth with no orders or capacity behind it, working capital days far better than history, machinery costs without current quotations, and stock statements that disagree with the books. We reconcile every actual figure with the accounts, GST and income-tax returns before building the projections, write down each assumption with the reason for it, and test the plan against a weaker case – lower sales, higher costs or a delay – so that debt service coverage and the current ratio still hold. Where the numbers do not support the loan as requested, we say so early and discuss a smaller limit, a longer tenor, more promoter funds or credit guarantee cover instead.

After sanction, the work continues: stock and book-debt statements for drawing power, quarterly results, covenant tracking, charge registration with the Registrar of Companies and annual renewal data. We are not a bank, loan agent or DSA; we do not arrange loans, take commission or guarantee sanction, and we do not inflate numbers to meet a ratio.
